Invoices and Payments

The money record lives in two panels at the bottom of Settings → Plans & billing: Subscription on the left and Recent Payments on the right. They render only while a paid subscription exists. On Free there is nothing below the plan cards, and that absence is correct rather than a fault — a workspace whose subscription has fully expired sees the same thing, which can look like data loss and is not. The plan chooser above them is always there either way.

Two of those deserve a sentence each.

The Plan row shows the product name the payment provider bills you under, which can differ from the name on the plan card above — “Growth (SaaS License)” on the row against “Growth” on the card. Both refer to the same subscription; the card shows Leed’s plan name and the row shows the billed product name.

The Cancel button is present for Active, Trial, Past due and Paused subscriptions, and absent for Cancelled, Expired and Unpaid, which have nothing left to cancel. Canceling during a trial is explicitly supported and is how you leave before the first charge.

What each status means for what your workspace can actually do — and the two counter-intuitive ones, Past due and Paused — is set out in changing plans and downgrades.

When there is no Renews row

The Renews row does not go blank; it disappears. That happens when the subscription has no scheduled next cycle — typically because it has been canceled and is running out its paid period, or because it has lapsed. A missing Renews row is information, not a rendering fault.

The payment portal

Manage subscription opens the payment provider’s portal in a new tab. Three things belong there rather than in Leed:

  • Downloading invoices and receipts. The portal is the authoritative place for a formal invoice.
  • Updating the card — including the fix for a Past due status.
  • Changing the billing email and billing address.

The portal session is created fresh each time this panel loads. If the provider cannot be reached at that moment, the Manage subscription button simply does not render — it is not an error state and it is not permanent. Reload the page and it comes back.

Recent Payments

Headed Recent Payments — Order history, this panel lists your charges: date, plan charged, a status badge, and the amount. It shows the 20 most recent orders.

When a subscription exists but nothing has been charged, the panel reads “No orders yet.”

Order statuses

The badge shows the payment provider’s own status value, so partial_refund reads exactly like that rather than as prose.

A failed order alongside a Past due subscription status is the same event seen twice: the charge and the subscription it belongs to. A fraudulent order has no in-app remedy — contact Leed and the payment provider rather than retrying.

Refunds

A refunded or partially refunded order stays in this list with its status shown. The refund itself is handled through the payment portal or by contacting Leed. There is no refund control in the CMS — no button on this panel initiates, requests or reverses one.

Who can see any of this

The same gate as the rest of the screen: billing access, which comes either from the Administrator role or from the per-person billing override on Settings → Team. Someone without it does not see the Billing & plan card, cannot reach /settings/billing, and therefore never sees the order history — which is worth knowing if you have been asked to “check the invoice” and cannot find it anywhere. Billing and developer access covers the checkbox that grants it to someone who is not an Administrator.

Where a receipt actually comes from

The payment provider emails the receipt to the billing email on the subscription. Leed does not send receipts, and it does not forward them.

For developers: reading orders through the API

The order history behind this panel is available as a paginated list. It takes page and pageSize query parameters; pageSize defaults to 20 — which is what the panel requests — and is capped at 100. A single order can also be fetched by id, and an order belonging to another workspace returns 404 rather than a permission error, so an id cannot be probed across workspaces.

Both routes carry the same billing access requirement as the screen itself.

Usage is metered separately from what you are charged: your plan’s price is fixed, and going over a meter blocks or locks rather than billing you more. Usage and limits covers all three meters.
